Meeting readiness

What is meeting readiness?

Meeting readiness means that everything a meeting needs is in place when it starts: the right room, the catering, the AV setup and the guests expected at reception. A booked room is not the same as a ready meeting, because the teams behind the meeting also have to know what to prepare, and when.

Why meetings fail after the room is booked

A meeting changes: from 10:00 to 14:00, and to another room. The calendar updates, but the systems behind it do not. Catering has the old time, AV sets up in the wrong room and reception expects the guest at 10:00. Small gaps add up, and workplace teams fix them by hand.

What makes a meeting ready

  • One booking that holds the room, the services and the guests
  • Every team working from that same booking
  • Changes that reach every team automatically
  • Rooms released when nobody turns up

How AskCody makes meetings ready

AskCody connects facilities, catering, reception, AV and IT, and finance to the same booking in Outlook and Microsoft Exchange. When a meeting is booked, moved or cancelled, the room, the services and the people behind them move with it. See what is meeting management.

Frequently asked questions

How is meeting readiness different from room booking?

Room booking secures the space. Meeting readiness covers everything else the meeting depends on, and keeps it right when plans change.

Who is responsible for meeting readiness?

The organizer starts it, but the teams behind the meeting deliver it, which is why they need to work from the same booking.
