What is auto-release?

Auto-release, also called room check-in or room confirmation, frees a booked meeting room when nobody confirms that the meeting has started. Attendees confirm on a screen outside the room within a set window around the start time. If nobody does, the booking ends and the room is available for others again.

Why auto-release matters

Rooms held by meetings that never happen are one of the most common reasons people cannot find a room. Auto-release turns those bookings back into free rooms the same morning, and it keeps booking data honest, because a released meeting no longer looks like demand.

How it works

  • A meeting is booked as usual, for example in Outlook.
  • Around the start time, the display outside the room asks attendees to confirm.
  • If someone confirms, the meeting continues as planned.
  • If nobody confirms within the window, the meeting is ended in the room calendar and the room shows as free.

On AskCody meeting room displays, the Confirm setting, also known as auto-release, asks attendees to confirm the meeting within the pending minutes you set before and after the start. If nobody confirms, the meeting is ended in the room calendar in Microsoft Exchange and the room is free to book. Administrators set it per display template. See configuring meeting room displays.

Frequently asked questions

Is auto-release the same as check-in?

Yes, the terms are used for the same thing: attendees check in, or confirm, at the room, and unconfirmed bookings are released.

Does auto-release need occupancy sensors?

No. Confirmation on the room display is enough to release unused rooms. Sensors are an optional extra source of presence data.
