Space utilization
What is space utilization?
Space utilization measures how much of the available capacity of your meeting rooms and desks is actually used. It is usually expressed as a percentage, either of time (hours booked compared with hours open) or of seats (people in the meeting compared with the seats in the room).
Why it matters
Utilization tells you whether the space you pay for matches the way people work. Rooms that are always booked point to a shortage of the right room types. Rooms that sit empty point to space that could be repurposed. Without the number, decisions about the office are based on complaints and gut feeling.
How it is measured
Time utilization compares the hours a room or desk is booked with the hours it is open. Capacity utilization compares the number of attendees with the number of seats. A large room that is booked all day for two people scores high on time and low on capacity, which is a sign the room is the wrong size for the meetings held in it.

Frequently asked questions
Is booked time the same as used time?
No. A booking shows intent, not attendance. No-show meetings inflate booked time, which is why releasing unconfirmed meetings makes utilization data more trustworthy.
Should you measure utilization per room or per building?
Both. The building total shows whether you have the right amount of space, while the per-room view shows whether you have the right mix of room sizes.
